The Subcontract Coordinator will coordinate the flow of material sent to subcontract vendors and execute the entire process from start to finish, by ensuring parts are sent out in a timely manner, lead times are optimized, and material comes back into the plant and made available to the production floor on time.  The Subcontract Coordinator will act as liaison between the production floor, planning, and subcontract vendors ensuring the process flows smoothly; while meeting business objectives of safety, quality, and on time delivery. 


  • Generate purchase orders to outside vendors for material that needs to be sent out for subcontract work.
  • Maintain MRP master data including primary approved vendor(s), lot sizing, and lead time
  • Perform follow-up with subcontract vendors including order acknowledgment, reconciliation of open orders with vendors; as well as follow-up on any unacknowledged or past due PO’s
  • Provide a schedule to subcontract vendors on a regular basis and work with vendors to ensure available capacity and delivery date commitments
  • Act as liaison between production, planning, and third party vendors communicating expected delivery dates and job status
  • Ensure all parts are counted and recorded accurately within the ERP system, transactions are processed to reflect movement in and out of plant, and that all paperwork is filled out correctly
  • Work with quality, planning, and vendors when quality issues arise in generating RMA’s for re-work or return of product to vendors and communicate new delivery dates to planning and production
  • Send out for quote any new parts that require subcontract processing to obtain best price and work with Sourcing and Finance to ensure pricing is acceptable
  • Continuously improve upon the subcontract process to improve efficiency and drive lead times and costs down
  • Communicate effectively both internally and externally at all levels


  • Procurement knowledge and working with outside vendors
  • Microsoft office skills including Outlook, Word, and Excel
  • Excellent communication and follow-up skills
  • Able to communicate at all levels of the organization


  • High school diploma or equivalent
  • 1-3 years of experience within a Procurement role
